A Shopify-based jewellery store consistently records very high sales, processing thousands of orders daily. However, the store was unable to manage its finances effectively because all bookkeeping was manual. While they did maintain financials on Zoho Books, every record had to be entered multiple times by their team. As their sales grew, this task just got more challenging. Here are the problems they faced, which were overcome by integrating Shopify with Zoho Books.
The following challenges affected the e-commerce store’s finance and operations, before automation.
For every transaction, the information had to be manually entered into Zoho Books. Due to the increase in daily orders, employees spent an enormous amount of time each week on bookkeeping alone.
The use of spreadsheets resulted in mismatched records, duplication of entries, and created problems in auditing. Even minor errors scaled into larger ones, such as the miscalculation of profit.
The management failed to convert timely insights into cash flow and profitability, as such, affecting timely decision-making due to slow end-of-month closings.
Inconsistent categorization of sales and expenses increased the risk of inaccurate tax filings. The absence of reliable automation meant penalties and audit exposure, adding to the stress on the accounting team.
As transaction volume increased, manual processes became insufficient and necessitated hiring extra resources at great expense.
Many merchants did not possess the technical expertise to establish smooth data flows between Shopify and Zoho Books, and finding an expert service provider was delayed.
We implemented a zero-touch accounting integration that would automate the flow of data between Shopify and Zoho Books to solve the above challenges. The solution included:
Shopify transactions like sales, refunds, discounts, taxes, and fees automatically get pushed into Zoho Books in real time within seconds.
Automated mapping ensured accurate classification of sales, taxes, and fees, reducing reconciliation errors and improving compliance.
It was integrated to support thousands of transactions per day with no additional staff required, for growth.
Payment gateway, discount, and tax codes were mapped to Zoho Books accounts for accurate reporting.
A dashboard showed the status of sync and flagged exceptions, making resolution quick and efficient.
The project was completed in two months, during which our team experienced the following obstacles:
The historical sales data had to be cleaned and reconciled before import, and it had to be carefully validated for its accuracy and continuity.
Shopify and Zoho Books APIs had rate limits and restrictions. Optimized calls and batching, whenever possible, to ensure smooth syncing without interruptions.
We had to train employees who were used to spreadsheets to trust automation. Workshops and phased deployment helped adoption and develop confidence.
The integration brought in measurable outcomes:
This will further extend into the automation of inventory management on the store's roadmap by integrating stock levels across Shopify and Zoho Inventory to achieve end-to-end operational efficiency.
